Everyone, every round
Staff the whole season in one sitting instead of round by round. It's the same crew the event pages use, so nothing is typed twice.
Crew & travel · Team manager
Who works which round, how they get there and where they sleep — planned in one place, checked for gaps on its own, and on every traveller's phone through one link that lasts the whole season. No app, no login, no chasing people one by one on WhatsApp.
Crew, trips and travel links in the same live system as the cars. Included — there is only one plan.
Built for the Thursday before the race, when the team manager is the travel agent, the hotel desk and the help line — all from one phone.
The season, staffed
People down the side, rounds across the top. Click a cell, pick a car or operations, and they're on the event. You see at a glance who's confirmed and who's still a maybe — and a double-booking lights up the moment it happens, not at the airport.
Staff the whole season in one sitting instead of round by round. It's the same crew the event pages use, so nothing is typed twice.
Anyone on two events at once turns red, with the other event named — including overlaps that only exist because of their travel dates. A round they declined never counts.
Switch to the season's events and each round shows its assigned and open places on a coverage bar — next to a count of everyone who's double-booked.
Every event, car by car
Each event gets a column per car and one for event operations. Add people from your crew — or a one-off guest by name — give them a role, and drag them to another car when plans change.
Everyone starts as tentative and flips to confirmed as the replies come in. Each card shows when that person lands, straight from the trip plan — and an open slot says so until someone fills it.
Save an event's crew shape — say, “2-car weekend” — and reuse it on the next round. It lays down the places each car and role needs, and every one still open shows a Fill button.
Your crew lives in Team — with or without an app login — and anyone else can join an event as a one-off guest by name. Each person gets an event role from your own list of job roles.
Trip plans
Everything the team books for a round, in one place and shaped for a race team: one booking with many people on it, seats in the hire car with a named driver, rooms in the hotel — and the session timetable on the same days.
Pick what you're adding and the form asks only what that booking needs — a flight number for a flight, rooms for a hotel, seats for a car. Paste the official session timetable and it lands on the right days.
Leaves Barcelona at 10:00, lands in London at 11:20 — type it like that. Airport codes autocomplete and set the zone, and every traveller sees local times without doing the arithmetic. A flight number the team has flown before fills in its route from your own trips.
Drag people into seats, or let ICRX suggest who rides with whom by arrival time. It warns when the driver has no licence on file, or it runs out before the hire ends.
Point the camera at a boarding pass, or upload a screenshot of it. The flight, route, date and seat fill themselves in — read on the device.
Tickets and confirmations live on the booking. A boarding pass or a passport scan stays private to the managers and that one person.
Trip health
ICRX reads the whole trip and lists every gap in plain words — before anyone is stranded at the airport, not after. Each one has a Fix button that opens exactly the booking to change.
Missing journeys, nights without a hotel, a flight that overlaps a train, a passport that runs out before the event — each one named, with the person it affects.
Travel, beds, rooms, ground transport, check-in details — rolled into one score, so you know where the round stands at a glance.
The trip at a glance
Every traveller on one chart: flights on the day they fly, hotel nights as a bar with the room on it — and a night without a bed, or a journey nobody has booked, in red where nobody can miss it.
Days across, people down, session days flagged. The quickest way to answer “where's Pete sleeping on Friday?” — and to see that nobody has sorted it yet. Click any mark to open that booking.
Put people in rooms — or let ICRX fill them — and the rooming list is a PDF away, with an email to the hotel already written.
Live PDFs built from the plan as it stands — nothing to keep up to date by hand.
The travel link
Send it once on WhatsApp. It opens on their phone with no app and no login, always shows their next trip, and picks up every new round on its own — after the first send, there's nothing left to send.
Flights, hotel and room, cars and the schedule, with “Updated” on anything that changed. A strip along the top switches between their upcoming rounds.
“Send to everyone” walks through the travellers who don't have their link yet. Each tap opens WhatsApp with the message written; you press send and come back for the next. With their number saved with its country code, it opens that person's own chat.
A travel link shows that person's bookings and agenda — never costs, other people's seats or passport data. Revoke it any time; it stops working on its own two weeks after the season's last event (never sooner than a month after it was sent).
When a round's plan is done, ICRX writes a “trip ready” message for the team's WhatsApp group. Each person's row shows when they last opened their link — and the whole trip exports to everyone's calendar.
Every flight and hotel you book lands in the round's budget on its own. See Financials
Part of the suite
The people come from your Team, the rounds from your calendar, the costs go straight to Financials — and the crew on the trip is the crew on the build sheets and the box clock.
Staff the season once, plan each trip in one place, and every traveller carries it in their pocket — from the first booking to the last flight home.
