Every round against its budget
Budget, spent and the gap for each event, with the season's total underneath — and a chart of the spend against the plan as the year goes on.
Financials · Owner · Finance
Budget against actual for every round and the whole season, receipts read the moment they're photographed, and a second pair of eyes on every expense. The season's money stops living in one person's spreadsheet — and only the people who should see it, do.
The money side of the same live system as the cars and the crew. Included — there is only one plan.
Built for teams where the owner, the team manager and the mechanic holding a fuel receipt each need a different answer — from the same numbers.
The dashboard
Set a budget for each event and one for the season's fixed costs, then watch every round land against it. A round past 90% is flagged to watch; one that goes over says so. You find out in March, not in December.
Budget, spent and the gap for each event, with the season's total underneath — and a chart of the spend against the plan as the year goes on.
The lease, the entry and the salaries sit once against the season. Tyres, fuel, travel and hotels land on their round. Quantity × rate where it helps.
Categories built for a race team — entry fees, tyres, fuel, travel, crew day-rates, crash damage — or type your own. Split by car, with shared costs kept apart.
Driver funding, sponsorship and prize money on the same page as the costs — and because ICRX already logs every kilometre the cars run, the season's cost per km is just there.
Receipts
Photograph a receipt — or drop in the PDF — and the supplier, date, total, VAT and currency are read right there on the device. The photo isn't sent anywhere to be read, and the round and the category are already suggested.
It suggests the round from the receipt's date and the category from your own history — so the mechanic with the fuel receipt is done before the pit lane opens.
ICRX asks instead of guessing. A total that could be read two ways is offered as two buttons; a typed one that's ambiguous is refused with a hint.
The exact same file can't go in twice. A receipt that matches a cost already filed — the same amount and supplier within a day, or a hotel that's already in the trip plan — is flagged side by side, and you decide. Nothing is ever thrown away on its own.
A PDF invoice's text is read directly; a scanned one is read like a photo. A password-locked file is refused, never half-read.
Photos are shrunk before they upload and stripped of their camera data. Receipts sit in private storage and open through links that expire in minutes.
Approvals
Anyone you allow can submit a cost. The approvers you choose approve it — or reject it with a note. Nobody approves their own expense except an admin, and until a cost is approved it stays out of the totals.
Every line says where it stands — Submitted, Approved or Rejected. Your own costs wait for someone else.
Edit an approved cost and it goes back to Submitted. Who decided, and when, is kept on every line — with the full change history behind it.
Who sees the money
Give each person a preset that fits their job, then allow or deny single rights for that one person. Mechanics, engineers and operations file their own costs without seeing a single total; Finance sees, manages and approves the lot.
The presets set the starting point; a per-person exception does the rest. Admins always see everything.
Their own costs and receipts, each with its status and any note — no totals, no budgets.
Linked to travel
Book a flight, a hotel or a hire car in the trip plan and its cost lands in that round's budget on its own — journeys under Travel & flights, hotels under Accommodation by the night. Cancel the booking and the line goes with it.
Nobody types a flight into the trip plan and then again into the budget.
A trip cost only changes on its booking, so the plan and the ledger can't drift apart — and a hotel receipt that's already in the plan is flagged, not counted twice.
Clean books
ICRX keeps a short list of what still needs a look, and exports the lot when it's time to hand it over.
Receipts waiting to be filed, possible duplicates, costs marked “Not sure”, a round that finished with nothing logged — each with a Fix button.
Export the ledger to a CSV that opens cleanly in Excel, with where each line came from and its approval status. Costs in GBP, USD or CHF stay in their own currency and are shown apart — never silently converted.
Part of the suite
Trip costs come from Crew & travel, cost per km from the mileage engine, the rounds from your calendar — nobody types the same number twice.
Set the budget, snap the receipts, approve with a second pair of eyes — and know where every round stands, all season, not just in December.
